About the Role:
The Development and Administrative Assistant plays an important role in supporting the daily operations of Search360 while helping advance our mission. This position works closely with the Development Manager to support fundraising efforts, donor communications, special events, and community outreach. The role also provides administrative support by welcoming visitors, answering phones, organizing files, assisting with Human Resources, and supporting our Community Education and Visibility Arts teams.

Minimum Requirements:
- High school diploma or equivalent,
- Extensive computer proficiencies & knowledge of Microsoft Office,
- Event management experience strongly preferred,
- Business writing experience strongly preferred,
- Familiarity with applicable regulations and standards,
- Ability to lift/carry up to 44 lbs.,
- Reliable means of transportation to travel between various Search sites as needed and other locations,
- Ability to perform basic physical moves such as kneeling, reaching, crouching, bending, and twisting.
Responsibilities:
General
- Support the mission and values of Search360,
- Demonstrate kindness, courtesy, flexibility, responsiveness, and consistency in meeting various administrative needs,
- Demonstrate leadership abilities by working cooperatively with Search colleagues, encouraging teamwork, respecting differing viewpoints, and demonstrating the ability to solve problems creatively from an agency-wide perspective,
- Present yourself in a professional manner as a representative of Search to people supported, family members, guardians, community members, donors, customers and representatives from affiliated agencies,
- Manage assigned workload effectively by meeting established deadlines,
- Maintain compliance with personnel policies as stated in the Employee Handbook,
- Demonstrate an understanding of the Corporate Compliance policy including the employee work rules and state/federal regulations such as DHS policies, and other applicable state and federal laws.
Development (60%)
- Assist with maintenance of the donor database, including data entry and donor acknowledgement,
- Support the Development Manager on special events, including assistance with mailings, silent auction solicitation, gift entry, donor acknowledgement and logistics,
- Assist with the preparation, editing, and distribution of development communications and mailings in collaboration with the Development Manager,
- Conduct preliminary research and gather information to support grant applications and fundraising initiatives,
- Prepare donor acknowledgement materials and provide administrative support for donor stewardship activities,
- Provide administrative and logistical support for development events, including event preparation, registration, set-up, and follow-up activities,
- Support on social media and digital marketing activities,
- Other development tasks and special projects as assigned.
Administrative & Social Enterprise (40%)
- Staff the front desk of the administrative office, including answering phones, sorting mail and greeting visitors,
- Collect and organize reports for monthly Executive Services meetings and other meetings as needed,
- Assist with maintaining the filing systems for the business office and the Human Resources department, including the accurate filing of current information and regular purging and storage activities,
- Support the Community Education team through event coordination, supply ordering, assistance with internal database and other administrative tasks as assigned,
- Support the Visibility Arts team through event coordination, product research and assistance with data tracking and other administrative tasks as assigned,
- Complete special projects and administrative support to the business office as requested,
- Other duties as assigned.
